PROSEDUR CHECK-IN/CHECK-OUT

Dalam topik ini akan dibahas bagaimana prosedur untuk berinteraksi dengan tamu, dimana mereka yang akan datang ke hotel dan yang akan meninggalkan hotel.

Sebelum memulai bagaimana melakukan prosedur tersebut dengan baik, selalu diingat bahwa dalam berinteraksi dengan tamu, yakinkan selalu tetap senyum, sopan dan beretika.

Dan bila dalam percakapan lupa sesuatu, baik mengenai harga, fasilitas, atau informasi lainnya, kita dapat melihat pada Catatan Reception, yaitu suatu informasi tertulis yang dijilid mengenai hal-hal yang berhubungan dengan pekerjaan di Reception, untuk itu catatan reception harus selalu ada di meja reception.

PROSEDUR CHECK-IN

Beri Salam.
Tanya nama tamu tersebut.
Tanya jika ada Reservasi sebelumnya.

Jika ada

Check namanya di computer
Lanjutkan sesuai pemesanan yang dibuat, apakah pembayaran pemesanan kamar melalui guarantee letter, voucher atau personal

Jika tidak ada

Tanya apakah sudah pernah menginap sebelumnya
Jika sudah pernah menginap sebelumnya, lanjutkan sesuai history yang pernah ada, dengan melihat ketersediaan kamar yang ada
Jika belum pernah menginap sebelumnya
Check ke sistem jika ada kamar yang tersedia

Jika ada kamar yang tersedia

Tanyakan untuk beberapa orang mereka akan menginap, dan tanyakan apakah ada anak-anak ikut menginap, jika ada, beritahukan kebijaksanaan untuk anak-anak menginap
Minta nama lengkapnya, dengan meminjam KTP/Passport atau kartu identitas lainnya, lalu foto copy kan kartu tersebut untuk file, atau laporan orang asing (bila tamu tersebut expatriat)

Cari tahu untuk jenis kamar apa yang mereka minta ; Smoking/Non-smoking, single or double, tipe kamar dan view kamar tersebut

Cari tahu apakah mereka mempunyai harga corporate dengan hotel kita, jika tidak ada terangkan harga yang berlaku untuk saat ini

Terangkan harga kamar sesuai dengan tipe dan jenisnya, coba usahakan untuk up-selling dengan tipe kamar atau fasilitas yang lainnya, seperti kamar yang lebih mahal dengan fasilitas yang lebih memadai, atau juga fasilitas lainnya seperti pelayanan Massage atau Spa

Tanyakan tipe kamar apa yang mereka akan pilih

Tanyakan dengan cara apa mereka akan membayar, apakah dengan Kartu Kredit atau Cash
Siapkan Registration Card untuk diisi dan ditanda?tangani (ini wajib) untuk mengantisipasikan si tamu check-out tanpa pemberitahuan, sehingga kita dapat melakukan SOF (prosedur untuk mengklaim pembayaran ke Bank penerbit kartu kredit tanpa tanda tangan tamu) dan jangan lupa meminta nomor handphone tamu tersebut

Sebelum memberikan kunci ke tamu tersebut, berikan informasi seputar fasilitas di hotel kita; Jam buka restaurant untuk makan pagi, lokasi kamar, lokasi lift, dan jangan lupa ulangi lagi nomor kamar dan harganya, tapi harus diingat pengulangan nomor kamar dan harganya harus tamu itu sendiri yang tahu, jangan tamu disebelahnya juga tahu, atau menerangkan dengan suara yang keras sehingga semua tamu tahu, ini untuk mengantisipasikan kesempatan orang lain untuk berbuat yang tidak baik dengan mendengarkan informasi tersebut Jika tidak ada kamar yang tersedia

Tawarkan untuk memesan kamar di hotel lainnya (usahakan hotel yang masih merupakan satu jaringan)
Salam Pisah dengan mengatakan ? Selamat beristirahat? bila ekspresi dalam bahasa inggris ?Have a pleasant stay? or ?Have a nice day?

PROSEDUR CHECK-OUT

Beri Salam.

Tanyakan nomor kamarnya, dan masukan kedalam computer (PMS).

Identifikasikan dengan menanyakan nama tamu untuk mencocokan kebenarannya.

Tanyakan apakah tamu mendapatkan hari yang menyenangkan selama menginap di hotel.

Beritahukan ke tamu untuk di periksa fasilitas Mini Bar di kamar.

Serahkan salinan bill pengeluaran selama tamu menginap beserta bill pendukungnya; Room Charge, Bar, Restaurant, Telephone, Mini Bar dan lainnya.

Tanyakan ke tamu mengenai pembayarannya, apakah pembayaran Cash, Kartu Kredit dan apabila sudah ditanggung dengan Guarantee Letter atau Voucher, lihat apa yang tidak ditanggung.

KHUSUS PEMBAYARAN CHECK (tergantung dari kebijaksanaan Hotel, apakah menerima pembayaran Check)

Bila menerima

Yakinkan Check di isi dengan benar di Counter
Periksa jumlah uang yang ditulis sama dengan biaya yang dikeluarkan
Periksa tanda ?tangan dan alamat tamu dibelakang Check tersebut
Minta kartu kredit tamu untuk di Card Ver sebagai jaminan dari Check tersebut
Minta Identitas tamu untuk disamakan dengan alamat yang ada di Check tersebut

Cetak invoice dan serahkan ke tamu, bila perlu berikan kartu kredit yang sudah di Card Ver untuk dicocokkan kembali, apakah tamu akan membayar dengan kartu kredit tersebut atau yang lainnya.

Bila pembayaran dengan kartu kredit yang sudah di Card Ver dan biaya pengeluarannya sama atau dibawah, tinggal melakukan prosedur Off Line, bila pengeluarannya diatas jumlah yang di Card Ver, lakukan prosedur Off Line sama dengan jumlah yang di Card Ver, sisanya lakukan SALE dengan kartu kredit si tamu.

Bila tamu akan membayar dengan kartu kredit lainnya, lakukan SALE langsung di mesin EDC, dan kartu kredit lain yang sudah di Card Ver, lakukan langsung prosedur CANCEL pemblokan dengan cara SALE kartu kredit yang sudah di Card Ver dan langsung VOID di mesin EDC tersebut sehingga nilai jumlah dana yang sudah terblok akan terbuka kembali dalam waktu 1 sampai 4 jam.

Tawarkan untuk membuat reservasi kembali

Berterima kasih ke tamu untuk menginap di hotel kita

One can notice that hospitality may have two different meanings. The first one from the point of view of the guest and the second one from the point of view of the service provider or the so called the server. ·         Hospitality is much more than a word today. It has become an industry that runs the danger of becoming too high tech, with too little high touch.
